Root & Bloom Turns Wholesale Guesswork Into Predictable Revenue

A vertically integrated Massachusetts operator (cultivation, extraction, manufacturing, wholesale, and its own RoadTrip Dispensary retail brand) moved its wholesale operation from LeafLink to Apex Trading.

THE CHALLENGE

Root & Bloom had great product and a hard-working sales team, but its commercial side ran on spreadsheets, text threads, and reps’ memory. Four symptoms of one infrastructure problem:

  • Unpredictable revenue. Buyers reordered whenever they thought of it, leaving the company either discounting aging inventory or short on the SKU a buyer wanted.
  • Reps buried in admin. Rebuilding availability sheets, chasing COAs, and re-keying orders, with no shared view of which accounts were growing or slipping.
  • Relationships lived in one inbox. Buyer history was tribal knowledge that left with a rep on vacation or out the door.
  • Slow, costly updates. Every drop, price change, or COA meant rounds of emails and PDFs, so buyers often worked off stale menus.

THE SOLUTION

Apex Trading is built specifically for cannabis wholesale, so the team was productive quickly without bending a generic CRM into shape.

  • Live branded menus, public profile, and website widget: one always-current menu with real availability, pricing, and lab results.
  • Order management: buyers order directly; inventory deducts and invoices generate with COAs attached.
  • CRM and reporting & analytics: account history belongs to the company, and managers see who is ordering, slowing, or due.
  • Compliance and integrations: METRC-linked fulfillment and QuickBooks remove double entry; permissions fit wholesale and retail under one roof.
  • Marketplace and pricing data: reach to new licensed buyers and a real read on Massachusetts market pricing.

THE RESULTS

  • Forecastable revenue. Visible reorder patterns lifted reorder rate 15%, bringing back about 20 orders a month ($188K). Average order size rose from $7,600 to $9,400, an extra $1,800 on all 135 monthly orders ($243K). Forecasting accuracy improved 20%, so production and harvest now follow real demand.
  • A focused sales team. Roughly 7.5 hours per rep per week (30 hours across 4 reps) moved from admin to selling, and analytics point reps at the accounts that need attention.
  • Institutional buyer relationships. Every order, note, and conversation lives with the account, so any rep walks in prepared.
  • Updates go out once. Publishing a drop or COA once replaced about 10 hours/week of manual menu and pricing emails. Combined with rep time, that is 40 hours/week, worth about $4,940/month.

“With the live branded menus, order management, and CRM, we got back 25+ hours across departments per week and turned wholesale from a guessing game into something I can forecast. I only wish we had brought them on sooner.”
